Your First Connected Workflow

ARM BMS is most useful when records are linked instead of created in isolation. This five-step example follows an enquiry through to completed work.

  1. 1
Add the customer to CRMSave their contact details, address, status and relevant notes once.
  2. 2
Create and assign the jobChoose the CRM client, add dates and assign the internal people responsible.
  3. 3
Prepare the quotationUse manual, stock or labour lines. The selected client and workspace branding appear on the finished quote.
  4. 4
Schedule and deliverAdd the job to the calendar. Assigned team members can record permitted updates, notes and evidence.
  5. 5
Complete and reviewMark the work complete and use reports to understand activity over a chosen period.

Overview

Dashboard

The dashboard is the starting point for the active business workspace. It summarises useful counts and provides shortcuts to modules available under the current plan and the person’s permissions.

Good to knowIf a business has more than one eligible dashboard, use the workspace selector to move between them. Each dashboard keeps its own operational data.
CRM
Relationships

CRM

CRM is the shared record of leads, clients, suppliers, trades and other contacts. Add names, organisations, contact details, addresses, statuses, tags, notes and files. Link that record when creating jobs and quotations so the history stays together.

Use it for Customer details, lead stages, relationship notes and connected job history.Avoid Duplicating the same person when an existing CRM record can be updated.
PEO
People

Staff, Employees and Workspace Users

Staff & Employees keeps workforce history, including current, future and past people. Workspace Users is different: it controls who can sign in. Administrators invite a person by email, choose their dashboard access and role, and select modules for General Users or Viewers. Administrators and Managers inherit all operational modules included in the package. Access begins only after the invitation is accepted.

JOB
Delivery

Jobs

Create work with a client, reference, description, priority, category, dates, address and one or more assignees. Administrators and authorised managers can edit, reassign or delete jobs. General users can work on jobs assigned to them by adding updates, notes, photographs and completion evidence. Viewers can only read permitted assigned work.

Privacy by assignmentLower-level users see their assigned jobs rather than another team member’s workload.
QTE
Sales

Quotes

Select a CRM client, then add manual, stock or labour lines. Catalogue selections fill their description, unit and customer price, but can be adjusted for the particular quotation. ARM BMS shows totals, uses the workspace’s saved supplier details and branding, and creates a secure customer link for viewing and acceptance.

Use Print / Save PDF from the finished quotation to produce a customer-ready copy. Customer and business details are retained with the issued quotation so later profile edits do not silently change its historical identity.

CAL
Schedule

Calendar

Schedule events, site visits and linked jobs. Choose dates, colour, location, notes and an assignee. Administrators and authorised managers can maintain the wider schedule; General Users and Viewers see only events or linked jobs assigned to them.

REC
Purchases

Receipts

Upload an image or PDF, or use a supported phone camera to capture the receipt immediately. Each upload is attributed to the signed-in person, helping administrators understand who purchased what and why. Add the date, merchant, category, amount and related job where relevant.

STK
Commercial control

Stock Management & Labour Costs

Stock Management records products, SKUs, units, quantities, costs, customer prices and movements. Labour Costs stores internal rates and client charge rates with reusable categories and units. These libraries can feed quotation lines. Sensitive costs and calculated profit remain restricted to Administrators and Managers.

DOC
Evidence

Documents

Store supported project files, contracts, drawings, images, guarantees and other records with a category and description. Administrators can control whether a document is available workspace-wide or only to selected roles and people. CRM and job attachments remain linked to their context.

MSG
Follow-up

Message Backups & Review Links

Message Backups can import supported WhatsApp and email archives, then match recognised senders to CRM records for authorised review. Review Links stores approved customer-review destinations and helps the business send a consistent request after suitable work.

RPT
Decisions

Reports

Reports begin with a 28-day view and allow comparisons across selected dates. Depending on role and plan, users can review contact activity, completed jobs, quotations, receipts, stock and team output. Commercial cost and profit figures are shown only to Administrators and Managers.

SET
Configuration

Settings, Branding, Integrations and Security

Settings & Branding contains the workspace identity used across the dashboard and customer quotations: business details, address, logo, currency, colour scheme and display mode. Integrations connects separately authorised email, calendar, messaging and payment services when available. Security & 2FA protects the signed-in account with an authenticator application.

ACL
Access

Choose the Right Role

Administrator

Controls the customer workspace, people, billing, settings, integrations and exports, as well as every package-enabled operational module.

Manager

Runs every operational module included in the package, including labour costs and reports, without administrator-only account controls.

General User

Contributes to permitted assigned work through status, notes, alterations and evidence, without destructive control.

Viewer

Reads permitted assigned information and cannot create, edit, delete or reassign operational records.

Best practiceUse Manager only for trusted operational leaders. For everyone else, start with the lowest suitable role and grant only the modules and dashboards they genuinely need.
