Quoting and workforce management

Build the quote, organise the team and keep the work connected.

ARM BMS brings customer-ready quotations together with contacts, labour rates, stock items, jobs, calendars and role-based workforce access. It is designed for SMEs that need the commercial and delivery sides of work to communicate.

Professional quotations

Reuse your catalogue without losing control of the final price.

Authorised users can select a saved stock item or labour rate to fill a quotation line, then adjust the copied description, quantity or price for that specific customer. If a catalogue price changes during quote creation, ARM BMS can ask whether the saved library should be updated too.

The completed quotation uses the workspace’s business details and branding, includes the selected client’s information, and can be shared through a secure customer link for review and acceptance.

One flow

From estimate to organised delivery.

01

Price Work

Combine custom items with maintained labour and stock libraries, VAT and a percentage deposit.

02

Present Clearly

Generate a branded customer quotation containing the correct client and business information.

03

Accept Securely

Share a controlled public link and record the customer’s explicit online acceptance.

04

Mobilise the Team

Create and schedule the work, assign authorised people and track the evidence through completion.

Commercial control

Connect pricing decisions to stock and delivery.

The quotation remains the customer-facing record while operational costs and fulfilment stay controlled inside the workspace.

  1. BuildSelect current stock and labour catalogue entries or add a custom one-off line.
  2. ReviewCheck customer details, VAT, percentage deposit, terms, prices and internal margin visibility.
  3. CreateSave the final quotation and deduct its linked stock once in the same protected operation.
  4. ShareEmail the secure customer link and preserve the exact quotation that was issued.
  5. DeliverRecord acceptance or payment, then turn the work into an assigned job and completion trail.
Stock and labour lifecycle

A clear rule for when inventory changes.

ARM BMS deducts linked stock once when the quotation is created, records a quote-linked movement and checks the reorder level. The quotation is marked as committed inside the same protected database operation, preventing later acceptance, payment or webhook activity from deducting it again.

Cost control

Keep internal costs limited to leaders.

Labour cost and stock purchase information is reserved for Administrators and Managers. Customer-facing prices can still flow into quotations without exposing internal margins to lower-access roles.

Maintainable libraries

Correct mistakes without rewriting old quotes.

Administrators and Managers can inspect, edit or permanently delete current Stock and Labour library records. Existing quotation line descriptions and prices remain as the historical customer record.

Quoting and Workforce Questions

Can selected catalogue prices be edited on an individual quote?

Yes. Catalogue details are copied into the quote and authorised users can adjust that quotation without silently changing the library.

Does a quote include the customer and company branding?

Yes. The selected CRM contact and workspace branding are used on the created quotation and related output.

Who can see labour cost and profit information?

ARM BMS limits internal cost and commercial profit information to Administrators and Managers.
